The Role
The Senior Clubhouse Director is responsible for the overall management and operations of the entire clubhouse, serving as the leader of the staff and primary liaison to families, partners, and the community. The Senior Clubhouse Director is focused on creating and fostering a positive culture for staff while ensuring a safe, fun, and inclusive environment that results in a high quality Club experience for youth. Additionally, the position is responsible for the recruitment and oversight of staff, youth members, volunteers and partners to ensure the Clubhouse is a vibrant and active community asset.
This dynamic position requires someone who can lead and activate the full potential of their team, collaborating with multiple internal and external stakeholders, and coordinating schedules/budgets. Additionally the role hires, supervises and trains staff. The Senior Clubhouse Director handles personnel issues in collaboration with HR, manages the facility, actively builds cohesive relationships with program staff, community partners, families, donors, volunteers, and administration.
This individual will develop and implement a plan to increase and/or maintain the Club’s daily attendance by focusing on membership recruitment, retention, and building the Clubhouse’s presence in the community. This position will work closely with the Assistant Director and/ or Program Manager and program team to schedule and coordinate activities for preschool, afterschool/summer camp, teens, sports, and STEAM. This position reports to the Area Director Team and will work collaboratively with the BGCWPA leadership team to advance organizational priorities at the Clubhouse.
Responsibilities
Culture and Community

- Model respectful, inclusive, and professional behavior at all times, cultivating a culture of trust, collaboration, and youth-centered excellence.
- Ensure that all staff members understand, embody, and are held accountable to the expectations outlined in the DNA Code through daily practice, coaching conversations, and reflective supervision.
- Promote a positive work environment where staff feel supported, engaged, and aligned with the mission and culture of BGCWPA.
- Partner with fellow Clubhouse Directors and Area Managers to build community across sites, encourage cross-site collaboration, and foster an organizational culture rooted in empathy, growth, and shared success.
Leadership
- Establish Clubhouse schedule, activities and services that prepare youth for success
- Ensure oversight of programs & staff at all times, fostering a healthy, safe environment, with well-maintained facilities, equipment and supplies.
- Lead by example through positive communications and behaviors
- Provide leadership and direction to ensure the effective operation and delivery of programs within the Clubhouse and community.
- Ensure the implementation of youth programs, services and activities that meet the requirements of all guidelines and grants
- Ensure establishment of and adherence to policies and procedures
Advancement
- Serves as the ambassador for the organizational culture, ensuring that the Club’s mission, vision, and values are upheld and embedded in all aspects of the program.
- Responsible for growing enrollment for programs, sports and community activities through sound recruiting and outreach practices.
- Build a positive relationship between local School District’s that the Clubhouse serves and BGCWPA by scheduling and attending regular meetings with both school and district level leadership.
- Attends relevant community and area school meetings; participates in local councils, roundtables, committees, and other collaborative opportunities.
- Support planning of fundraising events, youth fundraisers and collaborate with the advancement team on all marketing materials, tours and social media.
- Establishes and maintains purposeful and positive relationships with members, families, staff, community service providers, and community stakeholders.
- Supervise volunteers and be accountable for BGCA compliance regarding standards on volunteers within your Clubhouse.
- Partners with the advancement team to develop and distribute marketing promotional materials, plan events/local fundraisers and cultivate both individual and corporate donors.
Program & Operations
- Ensure seasonal program schedules (fall, spring ,winter, and summer) are established and approved in coordination and collaboration with the staff leads from the Preschool, K-8 Afterschool/Summer Camp, Teens, Sports, STEAM Departments, and external partnerships to optimize shared space in the building and cross promote programming.
- Oversees all clubhouse operations, coordinates with all partners/programs to ensure their activities are staffed accordingly in partnership with the BGCWPA Athletic Director.
- Plans and ensures that the environment, programs, and services prepare youth for success and programs delivered result in positive outcomes.
- Establishes annual membership goals including Registered Members, Total Youth Served, Community Outreach, Average Daily Participation (ADP), and member retention
- Addresses the future needs of the program and stakeholders through creative problem solving, informed risk taking, solution focused, and fostering new ideas.
- Resolves conflicts, disputes and/or concerns of staff, Club members, volunteers, and/or parents.
- Ensures a safe, clean, organized, and positive environment is created and maintained producing a sense of physical and emotional safety and belonging for all Club members, staff and visitors.
- Provides regular performance feedback, counseling, mentoring, training, and coaching for all Club staff, including conducting required performance evaluations and goal-setting processes.
- Ensure a healthy and safe environment; ensure facilities, equipment and supplies are maintained and in proper working order by partnering and coordinating with the Facilities Engineer.
- Follow all BGCA Regulations, ensure compliance with DHS guidelines, and follow DHS 3270 regulations. The Senior Clubhouse Director is responsible to serve as the leadership liaison in all licensing visits, as well as the completion of licensing related paperwork for renewals and pop up visits.
- The Senior Clubhouse Director will maintain current STARS designation this includes all related paperwork, ensuring staff credentials and trainings are updated in the Pennsylvania Key portal, as well as the overall day to day measures to ensure quality related to STARS and BGC expectations.
- The Senior Clubhouse Director will be responsible for maintaining the compliance of CACFP and SFSP Food Program policies and procedures in partnership with the Greater Pittsburgh Food Bank.
Management & Supervision
- The Senior Clubhouse Director is responsible for leading a welcoming, family and friendly atmosphere within their clubhouse environments.
- The Senior Clubhouse Director will work alongside the Area Director team to set annual and ongoing goals for enrollment, programming,partnerships, quality, and growth. The director will be responsible for team management within each site and the achievement of set goals.
- Supervise the performance, including annual review process, of assigned program employees and volunteers; ensure a productive positive work environment
- Manage budgets, expenses and have a good understanding on locally generated revenue; follow all BGCWPA finance policies and procedures
- Host weekly staff meetings and informal on the job regular staff training
- Family engagement with regular family communications.
- Complete any and all administrative tasks.
- Participate in BGCWPA strategic planning sessions and staff meetings
- Assist other employees in establishing a friendly, cooperative relationship with public and private agencies in the area that are serviced by the organization
- Collaborate with Training Coordinator and Compliance Director on staff training and development
- Manages and fulfills grant requirements. Works alongside the advancement team to collect site drive data in regard to grant deliverables.
- Oversees Member Management Database System (Procare School Works) and all required data and reporting.
- Establishes and monitors asset management procedures and inventory control for the Clubhouse.
- Oversees, manages and approves all financial transactions including credit card usage, payroll approvals and participant timecards.
- Ensures that transportation protocols and guidelines are followed.
- Initiate the Emergency Response Policy and conduct safety inspections and fire drills to ensure preparedness.
- Support the recruitment and interview process for all new Clubhouse hires; maintains local copies of records and actively follows new hire on-boarding plans
- Update and maintain skills in use of current computer information and technology
- Maintain weekly youth enrollment
- Report on and actively participate in diversity, equity and inclusion practices and opportunities
Programming Growth & Community Partnerships
- Work along existing organizational teams to drive innovation and excellence across Clubhouse programs (Preschool, K-8, Summer, Teen, Sports, STEAM) to ensure youth outcomes and community impact.
- Lead the strategic design and implementation of programming that responds to community needs, leverages internal expertise, and meets or exceeds enrollment targets.
- Establish and sustain high-impact partnerships with local school districts, community organizations, cultural institutions, and businesses.
- Oversee the development and implementation of seasonal program schedules in collaboration with program leads and external partners.
- Promote visibility and relevance of the Clubhouse through ongoing community engagement, public speaking, and representation at local events and initiatives.
- Collaborate with Advancement and Marketing teams on community fundraisers, grant applications, donor cultivation, and storytelling efforts.
Strategic Advancement & Fund Development
- Serve as a lead representative of the Clubhouse in donor and funder engagement efforts; build relationships with individual, corporate, and philanthropic partners.
- Partner with the Advancement team to support tours, proposal development, and impact reporting.
- Identify and pursue new funding opportunities to expand or sustain programming, staffing, and capital needs.

Requirements
- Bachelor’s degree from an accredited college or university and/or 5+ years leadership experience in nonprofit management, facility management, and/or youth programming
- Experience as a business manager or coordinator of a youth program or child care facility with demonstrated ability to supervise staff, budgets and collaborate with an administrative team
- The usual and customary methods of performing the jobs function require the following physical demands: lifting & carrying up to 50 pounds, pushing, any/or pulling, climbing to include steps, balancing, stooping, standing, sitting, kneeling, crawling, crouching, and signification fine fingered dexterity. Ability to tolerate environmental conditions: air conditioning, heat, dust fumes, noise, close quarters, etc.
Certifications and Clearances
BGCPWA’s highest priority is the safety of the youth we serve. CPR, Pediatric First Aid, Child Abuse Prevention, Criminal History, FBI Clearance, NSOR Certificate, PA Disclosure, PA Staff
Health Assessment, TB Test, and Mandated Reporter certification required upon hire or within 6 months.
