The Role 

The Assistant Clubhouse Director is a key leadership role within the Estelle S. Campbell Clubhouse and serves as a vital partner to the Senior Clubhouse Director in delivering high-quality, mission-aligned programs for youth and families. This role is responsible for supporting the day-to-day operations of a dynamic, multi-program site that includes preschool, K–8 afterschool and summer enrichment, teen programming, sports and wellness, and STEAM initiatives.

The Assistant Director plays an integral part in sustaining a culture of belonging and accountability among staff, helping to maintain a safe, inclusive, and engaging environment for all youth. This position assists with the supervision of Youth Development Professionals and program staff, ensures operational and safety compliance, supports family engagement, and helps implement strategic goals related to enrollment, program quality, and partnership development.

The ideal candidate is a hands-on leader who excels at both supporting and managing teams, navigating the operational flow of a busy youth-serving site, and maintaining strong relationships with children, families, staff, and community stakeholders. They must be able to adapt quickly, communicate effectively, and collaborate across departments to ensure consistent, quality-driven program delivery.

Additionally, the Assistant Clubhouse Director is expected to contribute to the long-term success of the clubhouse by supporting continuous improvement efforts, helping to monitor key performance indicators, contributing to community outreach, and stepping into site leadership when the Senior Clubhouse Director is offsite or unavailable.

Responsibilities 

Culture and Community

  • Ensure that all staff members understand, embody, and are held accountable to the expectations outlined in the DNA Code through daily practice, coaching conversations, and reflective supervision.

  • Support staff development through mentorship, coaching, and daily team check-ins.
  • Lead by example in maintaining respectful, professional, and youth-centered communication

  • Contribute to cross-site collaboration and community building efforts.

Leadership 

  • Serve as a key member of the site leadership team, working in close partnership with the Senior Clubhouse Director to establish and sustain a clear, consistent vision for high-quality programming and youth engagement.
  • Provide on-site leadership and act as the primary point of contact in the absence of the Senior Clubhouse Director, ensuring seamless continuity in daily operations, staff support, and youth supervision.
  • Model professionalism, accountability, and positive communication at all times, setting the tone for staff behavior, teamwork, and responsiveness.
     
  • Support the development and maintenance of daily, weekly, and seasonal schedules that meet the needs of youth and families while maximizing the effective use of space, time, and staffing resources.
  • Assist in the coordination and facilitation of team huddles, shift transitions, and weekly site staff meetings to promote consistent messaging, reinforce expectations, and align efforts across departments.
  • Participate in the development and delivery of training opportunities and onboarding for new team members, ensuring they are equipped with the tools, knowledge, and confidence to succeed in their roles.
  • Provide daily on-the-ground guidance, problem-solving support, and leadership presence to ensure all programs are delivered with a high level of care, engagement, and alignment with BGCWPA’s mission.
  • Help facilitate open and respectful staff communication by encouraging reflective practice, leading by example, and addressing concerns or conflicts with professionalism and discretion.
  • Collaborate with the Senior Clubhouse Director on goal-setting, team performance management, and fostering a culture of growth, high expectations, and continuous improvement.
  • Assist in the development of youth leadership and teen mentorship opportunities within the site, modeling inclusive leadership and providing guidance to emerging youth leaders.
 

Advancement 

  • Support outreach efforts and enrollment strategies to recruit and retain youth participants across all programs.
  • Help foster relationships with families through consistent communication, family engagement events, and responsive service.
  • Attend community meetings and partner check-ins as needed to build visibility and support for Clubhouse programs.
  • Support the execution of site-based fundraisers and special events in collaboration with the Senior Director and Advancement team.

Program & Operations 

  • Assist in the coordination, implementation, and oversight of daily program schedules across all Clubhouse areas, including Preschool, K–8 Afterschool, Summer Camp, Teen, Sports, and STEAM programs.
  • Ensure all activities are developmentally appropriate, engaging, and aligned with BGCWPA’s commitment to positive youth development and educational enrichment.
  • Monitor real-time program operations and transitions to ensure that youth are actively supervised and engaged throughout the day.
  • Proactively maintain required staff-to-child ratios in accordance with DHS and BGCWPA policies. This includes daily monitoring of attendance, classroom rosters, and adjusting staff placement to meet ratio requirements across program areas.
  • Serve as an onsite point of contact to respond to any ratio-related issues or classroom coverage needs in real-time, providing leadership and support to staff as adjustments are made.
  • Conduct routine walkthroughs and site checks to ensure that learning environments are clean, safe, organized, and emotionally supportive for both youth and staff.
  • Actively monitor program quality by observing interactions, addressing safety concerns, and offering coaching or redirection when necessary to support high-quality instruction and supervision.
  • Collaborate with the Senior Clubhouse Director to ensure site readiness for licensing visits, STARS assessments, CACFP/SFSP food program compliance, and BGCA standards.
  • Support incident reporting procedures by documenting and responding appropriately to accidents, behavioral incidents, and safety concerns in alignment with BGCWPA protocols.
  • Ensure proper use and maintenance of program supplies, materials, and equipment, proactively restocking or replacing items as needed to support effective programming.
  • Maintain strong communication with program leads, ensuring alignment and shared responsibility for daily logistics, activity planning, and classroom structure.
  • Participate in planning and implementing emergency response drills, ensuring staff are properly trained and all procedures are followed to maintain the physical and emotional safety of members.

Management & Supervision 

  • Directly supervise Youth Development Professionals and program support staff.
  • Provide on-the-job coaching, feedback, and informal training aligned with program quality standards.
  • Support the onboarding of new staff, including orientation to site routines, safety procedures, and expectations.
  • Assist with administrative responsibilities including schedules, supply inventory, and internal communications.
  • Support weekly staff meetings and communicate key updates to the team.
  • Identify and address staff concerns or morale issues with empathy and professionalism, using a solutions-based, culturally responsive approach to help resolve conflict and strengthen team cohesion.
  • Respond to parent and caregiver concerns in a timely, respectful, and solution-oriented manner, ensuring open lines of communication and reinforcing trust and partnership between families and the Clubhouse.
  • Work with the Senior Clubhouse Director to facilitate reflective supervision, maintain clear staff communication, and support continuous professional growth for team members.

Programming Growth & Community Partnerships

  • Collaborate with program leads and partners to support implementation of high-quality, responsive programming.
  • Assist with the coordination of seasonal schedules and shared space planning.
  • Identify opportunities to expand enrichment offerings based on youth interest and community needs.
  • Build relationships with school partners, families, and volunteers to support program success.

Strategic Advancement & Fund Development

  • Participate in donor tours, storytelling, and events to elevate the impact of the Clubhouse.
  • Provide enrollment and program impact data to support grant writing and reporting.
  • Collaborate with the Senior Clubhouse Director and Advancement team to implement engagement strategies.
  • Support local fundraising efforts through events, campaigns, and community partnerships.

  • Comfort using Google Suite and other basic technology platforms to manage schedules, communication, data entry, and reporting.
  • Flexibility to work afternoons, evenings, and weekends, based on program needs and site coverage.

Requirements 

  • Associate’s degree in a related field (such as education, human services, social work, recreation, or child development) required; Bachelor’s degree preferred.
  • Minimum of 3–5 years of progressive experience in youth programming, nonprofit operations, facility coordination, or childcare, with demonstrated ability to lead teams and manage day-to-day site functions.
  • Prior experience in a supervisory or coordinator role within a youth-serving organization or licensed childcare facility strongly preferred.
     
  • Proven ability to support staff development, manage schedules and ratios, and collaborate within a multi-disciplinary leadership team.
  • The usual and customary methods of performing the jobs function require the following physical demands: lifting & carrying up to 50 pounds, pushing, any/or pulling, climbing to include steps, balancing, stooping, standing, sitting, kneeling, crawling, crouching, and signification fine fingered dexterity. Ability to tolerate environmental conditions: air conditioning, heat, dust fumes, noise, close quarters, etc. 

Certifications and Clearances 

BGCPWA’s highest priority is the safety of the youth we serve. CPR, Pediatric First Aid, Child Abuse Prevention, Criminal History, FBI Clearance, NSOR Certificate, PA Disclosure, PA Staff 

Health Assessment, TB Test, and Mandated Reporter certification required upon hire or within 6 months.
